Privacy notice

Your details and subs.ie.

What happens to the details you give your club through subs.ie, and who you can ask about them.

This wording is a draft and may change before subs.ie launches.

Who we are

subs.ie is run by Boo Labs Limited t/a Howl ("Howl"). Registered office: 1 Adelaide Villas, Adelaide Road, Dun Laoghaire, Co. Dublin, A96 V2T8. Company number (CRO): 567755.

You can contact us at hello@subs.ie.

Your club uses subs.ie to run memberships and take payments. The club is the data controller for your membership details. It decides what it asks for and why. subs.ie (Boo Labs Limited t/a Howl) acts as processor for clubs: it handles those details for the club, on the club's instructions.

For your subs.ie sign-in account (your email address, sign-in and security settings), Boo Labs Limited t/a Howl is the controller.

For payment data, Stripe also acts as a controller in its own right for fraud prevention and its legal duties.

What we hold

  • Your name, email address and phone number.
  • For each member you register: name, date of birth (for age grades and registration with the governing body) and the membership taken.
  • What you agreed to on the join form, with the wording and date.
  • A record of payments, refunds and anything the club marks as paid in cash or by bank transfer.
  • Sign-in and security records, to keep accounts safe.

Under-18s are registered by a parent or guardian. Children do not get their own subs.ie login.

How card and bank payments work

Payments to your club are processed by Stripe Payments Europe, Limited, a regulated payment provider based in Dublin. Each club has its own Stripe account, and your payment goes to that account, not to Howl.

When you pay a club, Stripe creates a customer record for you on that club's Stripe account. If you save a card, or set up a SEPA Direct Debit mandate for a payment plan, it is stored by Stripe on the club's account too. Howl and the club never see or store your full card number.

Club officers who manage the club's Stripe account (usually the treasurer) can see your name, email address, and the type and last four digits of your card, or the bank details shown on your Direct Debit mandate, in the club's Stripe dashboard.

If you pay more than one club through subs.ie, each club has its own record of you in Stripe. A card saved with one club is not shared with another, so you will be asked to save it again for each club.

Stripe uses your payment details to process payments, prevent fraud and meet its legal obligations. Stripe's own privacy policy explains how it does this: stripe.com/ie/privacy.

Who else handles the data

We use these providers to run subs.ie. Each only gets what it needs for its job.

  • Stripe: card and Direct Debit payments.
  • Supabase: the database and sign-in, hosted in the EU (Ireland).
  • Vercel: hosting for the website and app, run from its Dublin region.
  • Resend: sending emails such as receipts and reminders.

The subs.ie database is hosted in the EU. Where a provider handles data outside the EU, it does so under approved safeguards such as standard contractual clauses.

How long we keep it

Payment and financial records are kept for six years, as Revenue requires. When a household has not had a membership with the club for the club's set number of seasons (two unless the club changes it), its details are deleted, or anonymised where the financial records must be kept.

Your rights

You can ask to see the details held about you, to correct them, to have them deleted, or to limit or object to how they are used. You can also ask for a copy to take elsewhere.

Your club handles requests about your membership details. You can also email hello@subs.ie and we will pass your request to the club and help it answer.

If you are unhappy with how your details are handled, you can complain to the Data Protection Commission at dataprotection.ie.
