Who we are
subs.ie is run by Boo Labs Limited t/a Howl ("Howl"). Registered office: 1 Adelaide Villas, Adelaide Road, Dun Laoghaire, Co. Dublin, A96 V2T8. Company number (CRO): 567755.
You can contact us at hello@subs.ie.
These terms are between Boo Labs Limited t/a Howl and the club. The officer who sets the club up on subs.ie does so on the club's behalf.
The officer who sets the club up accepts these terms for the club. subs.ie records which version of the terms was accepted, by whom and when.
Fees
subs.ie charges 3.5% + 25c per payment, including VAT. That covers Stripe's fees too. Free to set up. No monthly fee. By default the club pays the fee. The club can choose to pass it on to members instead. Payments recorded as cash or bank transfer have no fee. See pricing for a worked example.
Payments, Stripe and disputes
Online payments are taken through a Stripe account opened in the club's name. The club agrees to Stripe's Connected Account Agreement when it sets up payouts. Money from members goes to that account and is paid out to the club's own bank account.
Members' payment details sit on the club's Stripe account: each payer's Stripe customer record, any saved card (shown as card type and last four digits) and any SEPA Direct Debit mandate. Anyone the club gives access to its Stripe Express dashboard can see payers' names, email addresses and card type and last four digits. The club must only give that access to officers who need it, remove it when they step down, and use the data only to run the club's memberships and payments.
A member who pays more than one club has a separate payment record, and a separate saved card, with each club.
Disputes and chargebacks. If a member disputes a payment with their bank, Stripe takes the disputed amount from the club's Stripe balance while the dispute is open and returns it if the club wins. The club answers disputes itself in its Stripe Express dashboard, before the deadline Stripe gives. subs.ie emails the club when a dispute opens and can help with what to send. For now Howl pays Stripe's dispute fee. Howl may change who pays dispute fees.
Stripe may contact the club directly. Stripe manages the risk on club accounts and may email the club, ask for more information about the club or its officers, hold back part of the club's balance as a reserve, or pause payouts while it carries out checks. These are Stripe's decisions. Howl will help where it can but cannot overrule them.
The club must keep its Stripe details up to date, including the bank account and the person representing the club. When the treasurer changes, the new treasurer updates this from the payout dashboard.
Data processing
The club is the data controller for its member data. subs.ie (Boo Labs Limited t/a Howl) acts as processor for clubs, and these terms are the data processing agreement between the club and Howl under Article 28 of the GDPR. For subs.ie sign-in accounts, Howl is the controller.
Howl will:
- process members' details only to run the club's memberships, payments and messages, on the club's instructions, unless the law requires otherwise
- make sure the people who work on subs.ie keep the details confidential
- keep the details secure, including encryption in transit and access limited to those who need it
- use only the providers listed in the privacy notice, under terms that protect the data in the same way, and tell the club before adding or replacing one
- help the club answer members' requests to see, correct or delete their details
- tell the club without undue delay if a breach affects its members' details
- delete or return the club's member details when the club stops using subs.ie, keeping financial records only as long as the law requires
- give the club the information it needs to show these terms are being followed
The club must have a lawful basis for the details it collects, and must tell its members how they are used. The subs.ie privacy notice helps with this.
Changes and contact
Howl may change these terms. When they change, we update this page and the date at the top, and the change is shown to clubs and users the next time they sign in. Questions go to hello@subs.ie.
